Macquarie's business is structured into six operating groups and four service groups. Corporate Operations Group (COG) provides specialist professional services, human resources, workplace infrastructure, and technology and market operations to Macquarie's businesses. The primary purpose of COG is to support and enhance the value of Macquarie through the creation of an efficient, scalable operating model. This is evident across the activities of each of the divisions.

The Technology Division is responsible for the management of Macquarie's technology infrastructure, the support and development of existing business systems and the delivery and deployment of new systems, technologies and services.  It comprises business aligned teams which provide dedicated and specialist services to businesses as well as central teams which provide shared services, such as infrastructure, to multiple businesses.

The Technology Division currently have a requirement for an Executive Assistant, reporting to a Department Head and his direct reports. To be considered for this role you will be a motivated and highly organised individual to work one on one plus guide the Group Assistants in supporting the broader team.

Your duties will include, but not be limited to:

Extensive diary management including booking meetings, managing conflicts and providing/following up on all required paperwork prior to meetings
Screening of calls for the Division Director and referring/handling as appropriate
Coordination of global administrative tasks with Departments administrative team in regional offices
Recruitment of junior administrative staff when required
Coordination of meetings and functions (including  management meetings, leadership meetings, regular Career Boards and ad-hoc offsite meetings)
General office management including cost management (in conjunction with the Finance team)
Domestic and offshore travel arrangements
Update and maintain organisation charts, mailing lists
Maintenance of Division's Senior Leadership and Executive Team Sharepoint site's
Correspondence management - ensuring items are actioned/referred appropriately
Daily liaison with senior management
Extensive liaison with EA's and Group Assistants within Technology
Manage and process expense reimbursements, American Express and invoice payments
Compilation of Powerpoint presentations - for both internal and external audiences
Various ad-hoc duties
Coordination and management of floor space & team relocations
Staff communications
Preparing agendas and actions of meetings
To be successful in this role you will need:

Demonstrated ability to deal effectively with information of a sensitive/confidential nature
The ability/maturity to work effectively with senior management and other EA's
Strong skills across the MS Office suite (specifically Advanced Excel and PowerPoint)
Previous EA or senior level GA/PA experience
Experience in a large corporate environment an advantage
